Online Reservations & Checkout
Online Scheduling System - PennDesign has four carts, five portable projectors and two laptops with Windows XP available for check out. All presentation equipment (projection carts, laptops and LCD projectors) can be reserved online using the Online Scheduling System (see below for instructions). Four projection carts are available for use in Meyerson Hall. One is available in Addams Hall - Conference Room (permanent installation). class room lab schedules and lab assistant schedules are available for viewing to ensure the class you want is open and that someone is here to complete your reservation. If you have diffuculty setting up your cart, please contact one of our work-study students for assistance or contact the PennDesign ITS staff.
The online scheduling program makes it easy to reserve equipment. Simply click the time slot for the appropriate device and new event window will pop up on your screen. You must enter the required information, marked with a *, into the "Add Event" window. The following fields must be completed to reserve one of the carts:
- Subject--Please put your name/event in this field
- Start date/Time
- End date/Time
- Location--Select from the drop down menu
- Name--of contact for event
- Phone Number
You are responsible for picking the appropriate cart up at the designated time and returning it when your presentation is complete. If you have any questions about the carts' operation, please speak with one of our student workers or a member of the computing staff at least a day before your presentation. We'll be happy to show you how the equipment works.
Reservation Policies & Procedures
Online Scheduling System - All presentation equipment (projection carts, laptops, and stand-alone LCD projectors) can be reserved online. Users can access the Online Scheduling System through one of two methods depending on the Web client used (Internet Explorer, Firefox, Safari):
- Enter your PennDesign username and password . Note: this is the same password used to login to PennDesign lab computers. When prompted for username, you must preface your username with "design\". For example, if your username is "jsmith", you would enter "design\jsmith".
- If prompted for all 3, enter the domain (design) followd by \username (please note the "\"). In the next box, put in your password. See the above screen shot for an example.
- User name: username
- Password: password
- Domain: design

Policies & Procedures
- No equipment may be reserved for longer than a 10-hour time period. There is no overnight or off campus checkout of equipment.
- All equipment must be returned on time. If your reservation is from 9 to noon, we will expect it to be returned by noon. Other users are seriously inconvenienced when equipment is not returned on time. If equipment is not returned on time, it may be necessary to come to your class to retrieve it for the next reservation.

- Equipment can not be checked out prior to 8:30am. Equipment may not be checked out the evening before without prior arrangement through Cathy DiBonaventura, and only under exceptional circumstances.
- You must show your PennCard as identification when picking up equipment. The assistant on duty will fill out a slip with your name, equipment reserved, time checked out and time due back. It is no longer necessary that you leave your PennCard.
- Please only reserve equipment for the dates needed. We have found many situations of equipment reserved on the calendar for an entire semester, but only used occasionally. This keeps a valuable resource from other users. If equipment is reserved, and not checked out on more than three occasions, we will delete the remaining reservations for the remainder of the semester.
- If you find that you won't need equipment on a certain date, please release it on our calendar.
- If your equipment is not picked up within 30 minutes of the reservation time, we will release that equipment for another user.
- Beginning September 1, 2006 equipment for Exhibitions and Conferences (and other multi-day events held on Penn's campus) must be requested and reserved through PennDesign Computing. A form will be available on our website (www.design.upenn.edu/comp), or in 314 Meyerson Hall to reserve Exhibition equipment. We hope that these policies will improve our service, and provide more consistent availability of the equipment.
