Printing

Access to Printers and Plotters

  • Make sure you have printers configured on your machine.
  • With an active Design account you are given access to the Public Laser Printers in any of our Design buildings.
  • To access Plotters (Large format Printers) in Design, you will need to review the material located in our PRNT 101 course on CANVAS. (Authenticate with PennKey credentials)
  • You must take and pass the Printing and Plotting Quiz to be granted access to these Large format printers.

 

Configure Printers on your own Machine

On a PC

Windows 7 & Windows 10

  • Open the Start Menu
  • In the search bar, type in \\vulcan.design.upenn.edu
  • When prompted for your username and password, enter them as:
    • Username: DESIGN\username
    • Password: (your design password)
  • Double click on the printer you want to use

Windows 8

  • Open a new Run prompt by pressing Windows+R
  • In the search bar, type in \\vulcan.design.upenn.edu
  • When prompted for your username and password, enter them as:

On a Mac

Print from the Labs

From a Lab PC

  • Open the Start Menu
  • In the search bar, type in \\vulcan.design.upenn.edu
  • Right click on the on the printer or plotter you intend to use and "add"
  • The printer/plotter will now show up in Start Menu -> Devices and Printers

From a Lab Mac

  • All printers in the Mac Labs are managed by IT.
  • Available printers can be viewed from System Preferences -> Printers & Scanners

Printing on the Epson Plotters

  • This service is for Fine Arts classes and MFA students.
  • Epson plotting (this does not include the Epson desktop printers) is a managed service; all print jobs are handled directly by Micah Danges.
  • This server space is only accessible from Charles Addams Hall
  • To upload your file - Open Finder Application, Choose "GO" Connect to Server
    • From a PC: \\Juno.design.upenn.edu\Public\EpsonPlotting
    • From a Mac: smb://juno.design.upenn.edu/Public/EpsonPlotting
  • Create a folder with your Design username, then copy your files into the folder
  • Send an email to Micah Danges (danges@upenn.edu) to request a print
  • Allow 48-72 hours for the print to be completed.

Printing Charges

 

Printing Charges and Printing Credit

  • Printing charges go directly to your Design Account and the total charges over $5.00 will be sent to your Student Bill at the end of the month.
  • Each student receives a $50.00 credit in the Fall, and $50.00 in the Spring.  This is to help offset the cost of misprints that may occur due to either user or printer error. 

View Account Statement (last 30 days)

  • Login to Equitrac using your Design credentials

Check Your Balance

  • After you login to Equitrac, your balance will be displayed.

Check What was Printed from Your Account

  • Under Actions click on Select account report
  • The Account statement report will be highlighted; click on View Report

Billing Codes

Why/when to use billing codes?

  • Billing codes can be created for:
    • Printing that will be paid for by a department
    • A special project
    • By faculty/department coordinator request
  • To have a billing code created, send an email to ithelp@design.upenn.edu, including the PennKey usernames of all users who should have access to the billing code.

Printing Policies

Policies

  • Refunds and credits will be applied, except when explicitly stated otherwise, only after the initial credit has been spent.
  • Unauthorized printing done on a computer that was left logged in will not be refunded.
  • Requests for refunds or credits must include the information from the equitrac report, we recommend you copy and paste the job in question from that report into the email to ithelp@design.upenn.edu for a quick turnaround. Go to  www.design.upenn.edu/printing click Review Charges use your PennDesign credentials to view report.
  • For a refund request to be considered, it must include the following information
    • The date/time when the print was sent
    • The printer the print was sent to
    • The name of the file printed
    • Your Design username
    • Requests for refunds or credits must be sent to ithelp@design.upenn.edu
  • Job Cancelations, if you have requested a job be canceled from the internal print queue from a member of our IT staff, you must email ithelp@design.upenn.edu, within 24 hours, including details of the canceled job as detailed above, to qualify for a refund. Without an email sent within the 24 hours we have no way of confirming the job was cancelled and a refund will not be issued. (You will not be able to cancel jobs from the internal print queue after hours or in the event an IT staff member is not present, job cancelations are a courtesy and are not guaranteed.)
  • Requests for other types of refunds not including job cancelation requests must be sent within 30 business days of the original sent print job; in rare cases refund requests made after 30 business days will be considered only if request is made by a faculty or staff member.

What Qualifies for a Refund?

  • Plotter or printer hardware issues
  • The print job ran out of ink or the paper jammed during printing.
  • Plotter or printer error that results in the job being cancelled
  • Streaking or lines in the print due to print head issues. 

 What does Not Qualify for a Refund?

  • Sending the same job to multiple printers, then cancelling the prints.
  • Errors due to JPEG images in the document, or PDFs using JPEG compression.
  • Color issues that are unrelated to hardware issues; students are expected to utilize test strips to correct for printer specific color issues.
  • Specifying the wrong paper type; students are expected to check the printers/plotters before printing to verify which paper type is loaded.
  • If your job exceeds the recommended file size and is backing up the queue, during high volume printing, the print queue monitor will have permission to cancel the job.
  • Prints rotated or cropped incorrectly. Reference the Basic Printing Procedure, as well at the Plotting Tutorial for trouble shooting these issues.
  • Any issue related to the print after it leaves the printer; students are expected to promptly pick up prints.
  • Prints sent to the wrong device
  • Excess printing by selecting multiple copies.

Requesting a Print Refund

  • Make sure you are requesting a refund for a qualifying reason.
  • Use the instructions in the Printing Charges section to check
  • Use our Print Reimbursement Request Form

FAQ

Q: Why can’t I plot?
A: There are two main reasons why you may not be able to plot

  • You have not completed the plotting tutorial, or plotting permissions have not been granted to your Design account
  • Your print exceeds the maximum width of the plotter

Q: Can I print on my own paper on the plotter?
A: No.

Q: Can I use my own media in the laser printers?
A: Only if you consult first with IT Staff, and then only if the media is laser certified; non-certified media may catch fire.

Q: My line weights off when my document prints!  Why?!
A: We do not currently know the root cause of the problem; however, we do have a documented work-around that also results in significantly faster printer.

Q: The font(s) I selected in my document aren’t printing correctly!  Why?!
A: In some cases, this is due to a license issue, and in others, because the font is not available on the machine.  We do have a work-around that also results in significantly faster printing

Q: Why won’t my PDF correctly change orientation when I print?
A: Since Adobe CS6, we’ve encountered this issue with PDF files created from Illustrator and InDesign.  To print with the correct orientation, you will need to print directly from Illustrator/InDesign using your original file.

Q: I’m trying to print a JPEG, and I get blank sheets of paper (alternately, you get an error string).  Why?
A: JPEGs do not always print correctly; heavily compressed JPEG images, or corrupted images tend to result in error prints.  This is why our documentation explicitly says to convert the images to TIFF or PSD format.
